GENERAL SUMMARY: The Office Administrator is responsibility ownership of all office administration related job. Perform a wide range of administrative and general support duties in the Shanghai Gap Inc. office and provide a variety of advanced secretarial and administrative functions for GM. Act as interface with all key functions and a coordinator in cross function. ESSENTIAL DUTIES RESPONSIBILITIES: 1.Office Administrative Support: - Provide on board system training and work desk set up for new hire employees; - Provide daily support on office administration management and maintain an adequate inventory of office supplies; - Support fixed assists management and operate the daily maintenance of office supply including stationary, equipment and facilities to make sure the office in a good condition; - Maintain and update company contact list, Business Contingency Plan, Hardware and Software such as Public Folder or Port Folio; - Meeting room management, i.e. laptop, projector; - Plan, organize and follow-up on details related to company activities, outing and yearly kick-off meeting, etc.; - Take good care of all visitors to maintain or develop good relationship. This includes logistics, hotels, travel itineraries; - Set up good filing system including filing documents, supplier contracts, event photos and company videos; - Manage and evaluate office suppliers and vendors in regular basis; - Develop effective working relationships with internal and external partners; - Provide information or guidance by interpreting the company policy and process. 2.Executive Assistant to GM: - Provide secretary service for GM including coordinate and schedule GMs extensive business/personal/family travels, carry out the procedure of reimbursement after trip, visa application, hotel boo
